Information We Collect

Using Poppy from ChatGPT, Claude and other AI apps

You can connect Poppy to AI apps such as ChatGPT (OpenAI) and Claude (Anthropic) through the Model Context Protocol (MCP). To connect, you sign in to Poppy and approve access. Poppy then gives that app an access token tied to your account. We receive your name and email address from the sign-in so we know which Poppy account the app is acting for.

Once connected, the AI app can use Poppy's tools on your behalf. When it does, Poppy sends the app the result of that tool, which can include the categories listed under "What Poppy's tools return" below. The AI app's provider then processes that information under its own privacy policy, such as OpenAI's or Anthropic's.

Poppy never sends an AI app your payment details, your passwords, the sign-in tokens for your connected accounts, the names of accounts connected through third-party app integrations, the personal details of people who comment on YouTube videos, or Poppy's internal cost and debugging information.

Actions that change something, such as posting to a social account, sharing a board publicly or deleting an item, run only when you ask for them in the AI app, and the AI app may ask you to confirm first. You can disconnect Poppy at any time in the AI app's settings, or email support@getpoppy.ai and we will revoke its access.

What Poppy's tools return

Depending on the tool used, Poppy may return the following information to a connected AI app:

Content you create in Poppy

We store the content you create or add to Poppy: boards and the items on them, notes, uploaded files, links and the text we extract from them (such as video transcripts), chat prompts and replies, vaults, brand profiles, content projects, and generated images, videos and voice. We use this content to provide Poppy to you: to show it back to you, to give Poppy's AI the context you connect to a chat, and to return it to an AI app you have connected when it uses Poppy's tools.

Your content is stored with our hosting providers, including Google Cloud (Firebase) for data and Cloudflare R2 for files. We do not sell your content or use it to advertise to you.

AI model providers

To answer chats, generate images, video and voice, transcribe media and research topics, Poppy sends the content a request needs to AI model providers. These include Anthropic, OpenAI, Google, xAI, DeepSeek, Perplexity, fal.ai, Higgsfield, ElevenLabs and AssemblyAI. Each request includes only what that task needs, such as your prompt, the board content connected to the chat, or the file being transcribed. We use these providers through their business APIs, under terms that govern how they handle that data.

If you add your own API key for a provider, requests made with that key are also governed by your own agreement with that provider.

Connected social and ad accounts

You can connect Instagram, TikTok, YouTube, LinkedIn, Facebook and X accounts, and ad accounts, to Poppy. These connections run through our social publishing partner. We receive the account's handle and display name, profile picture, your posts and their captions, post performance (such as views, reach, impressions, likes, comments, shares and saves), follower counts and growth, and the audience demographics the platform reports, such as age ranges, gender and top countries and cities. Audience demographics are aggregated by the platform and do not identify individual followers. For a connected ad account, we also receive your campaigns, their spend and their results.

We use this information to show your performance in Poppy and, when you ask, to answer questions about it in Poppy or in an AI app you have connected. Poppy posts, schedules, reschedules or cancels posts on a connected account only when you ask it to. If a post fails, we show the reason the platform gives so you can fix it. You can disconnect an account at any time in Poppy.

YouTube data

Poppy uses YouTube API Services to read public video information and public comments on videos you ask about. Inside Poppy, comments show with the commenter's public name and picture, as on YouTube. When an AI app you have connected reads comments through Poppy, it receives only the comment text, like counts, dates and links, not the commenters' names, channel IDs or pictures.

We keep fetched comments for a short time so a repeated request does not fetch them again. Comments that appear in a Poppy chat stay in that chat's history until you delete the chat.

By using these features you agree to the YouTube Terms of Service. YouTube data is also governed by the Google Privacy Policy. If you have connected a YouTube channel, you can also revoke access on Google's security settings page.

Third-party app integrations

You can connect apps such as Google Drive, Dropbox, Notion, Slack, Zoom and Fireflies to bring their content into Poppy. Some of these connections run through an integration partner. When you ask, we list recent items from a connected app, such as call titles and dates or documents matching a name, so you can pick one. We store what you add to a board, such as a document, a recording or a call transcript, like any other content. Where these features are available on your account, you can also ask Poppy to send or export content through a connected app, such as saving a video to Google Drive or Dropbox or sending a newsletter through an email app. We then send that content to the app. Sign-in tokens for connected apps are never shared with AI apps or other users. You can switch off or disconnect any app in Poppy's Integrations settings.

Public information about creators and businesses

Poppy's content library and live search help you study public social media content. For public creator accounts on platforms such as Instagram, TikTok and YouTube, we collect and show public information: handle, display name, profile picture, follower count, verification status, and public posts with their captions, transcripts, thumbnails, view and engagement counts and our own performance scores. We get this information from the platforms' public pages and from third-party data providers. We also show public ads from ad libraries.

When you ask Poppy to research a company, we read the public website you give us and build a profile of the business from what it publishes, such as its name, description, products, audience, brand colors and logo, and any contact details the site itself makes public.

If you are a creator and want your public content removed from Poppy's library, email support@getpoppy.ai with your handle.

Teams and shared boards

If you join a team, other members of that team can see and edit the team's boards, chats (including conversation names and previews), vaults and saved items, and team owners can see the team's credit usage. If you share a board with a public link, anyone with the link can view it, and signed-in visitors can edit it, until you turn the link off. AI apps connected by a team member can read the team content that member can read.

Credits and usage records

We record each AI action you take, which model it used, and the credits it cost, so we can show your balance, bill team owners for team usage, and prevent abuse. Your credit balance and usage can be shown to an AI app you have connected when you ask about them.

Questions and requests

For any question or request about your information, including access, correction, deletion or revoking an AI app's access, email support@getpoppy.ai.

How We Use Your Information

We use the information we collect to deliver, maintain and enhance our services, and for the following purposes: personalizing your experience within our application, marketing and promotional communications, creating your user account, testimonials, customer feedback collection, enforcing our Terms, processing payments, support, administrative information, targeted advertising, managing customer orders, site protection, dispute resolution, managing user accounts, analyzing usage patterns to improve our product, segmenting audiences for communications, sending you information related to our products and services, developing new features based on user behavior and preferences, internal intelligence, and communications.

We do not sell your personal information. The only scenarios where we may share data with trusted third parties are: law enforcement requests, business mergers and acquisitions, service providers that help us deliver our services, payment processors, banks and card networks when needed to process payments, prevent fraud, or respond to a payment dispute, with your consent, and data ownership transitions. If we want to use your information for any other purpose, we will ask for your consent first.

Third-Party Services We Use

We work with service providers that process data on our behalf, bound by confidentiality and data processing agreements:

Your California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have the right to: know what personal information we collect, use, and disclose; request deletion of your personal information; correct inaccurate personal information; opt out of the "sharing" of personal information for cross-context behavioral advertising; and not be discriminated against for exercising these rights.

We do not sell personal information for money. Our use of advertising tools (such as the Meta Pixel and Conversions API) may constitute "sharing" under the CPRA. You can opt out of this sharing, or exercise any other right, by emailing support@getpoppy.ai with the subject "California Privacy Request". We will verify and respond to your request as required by law.

Retention of Your Information

We will retain your personal information for 90 days to 2 years after you terminate your account, or for as long as we need it to fulfill the purposes for which it was collected as detailed in this Privacy Policy. We may need to retain certain information for longer periods for record keeping and reporting in accordance with applicable law, or for other legitimate reasons like enforcement of legal rights and fraud prevention. We keep the record of what you agreed to when you bought (the terms shown at checkout, when you accepted them, and the payment it applied to) for at least 3 years. Residual anonymous information and aggregate information, neither of which identifies you directly or indirectly, may be stored indefinitely.

Our staff and contractors may access user data for purposes including troubleshooting, technical support, product improvement, and business analytics.

Your Rights

Depending on the law that applies (including the GDPR if you are in the European Economic Area or the UK), you may have a right to: access and rectify or erase your personal data, receive a copy of your personal data, restrict or object to the active processing of your data, ask us to share (port) your personal information to another entity, withdraw any consent you provided, and lodge a complaint with a statutory authority. To exercise these rights, write to us at support@getpoppy.ai. We will respond to your request in accordance with applicable law.

Communications

We may send text or email messages about product updates, special offers, and additional services. Standard message and data rates may apply based on your mobile carrier plan. Message frequency varies based on your account activity and engagement. You can opt out at any time by replying "STOP" to any message or by contacting us at the email address provided.

We process and store records of your communication preferences to honor your choices. You may opt out of direct marketing by using the unsubscribe link in our emails, and you may opt out of marketing profiling by writing to us. Opting out of these use cases does not opt you out of essential service communications.

Note that if you do not allow us to collect or process required personal information, or you withdraw consent to process it for required purposes, you may not be able to access or use the services for which your information was sought.

SMS and Text Messaging

If you provide your mobile phone number and opt in to receive text messages from GetPoppy AI Corp ("Poppy AI"), we will use that number to send you the messages you agreed to receive, such as account notifications, product updates, tips, and promotional offers. Consent to receive text messages is not a condition of any purchase.

No mobile information will be sold or shared with third parties for promotional or marketing purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

We may share your mobile number only with the service providers that deliver our text messages on our behalf (for example, our SMS platform and messaging carriers), and only so they can send the messages you opted in to. These providers may not use your number for their own marketing.

Message and data rates may apply. Message frequency varies. Carriers are not liable for delayed or undelivered messages. You can opt out at any time by replying "STOP" to any message, and you can reply "HELP" for help or contact us at support@getpoppy.ai. We keep a record of your opt-in and opt-out choices so we can honor them.

Poppy browser extension

The Poppy extension for Chrome sends data to Poppy only when you choose to save something. When you click Save, it sends the item you chose (a post or page link, a creator profile link, a Facebook Ads Library ad ID, an image's address, or text you selected) together with the page it was on and the board or vault you picked. It uses your Poppy sign-in to identify your account. It does not read or send your browsing history, and the optional quick-save button reads a page only to place itself on it. Saved items are stored in your Poppy account and handled under this policy. Data from the extension is not sold, not used for advertising, and not used for anything other than saving content to Poppy. You can remove the extension at any time from chrome://extensions

Security

The security of your information is important to us and we use reasonable security measures to prevent the loss, misuse or unauthorized alteration of your information under our control. However, given the inherent risks, we cannot guarantee absolute security, and consequently we cannot ensure or warrant the security of any information you transmit to us. You do so at your own risk.

Grievance and Data Protection Officer

If you have any queries or concerns about the processing of your information, you may email us at support@getpoppy.ai. We will address your concerns in accordance with applicable law.
